Seven details to check on every receipt

  1. Clear RECEIPT heading and serial number (such as RCP-0004), kept separate from your invoice sequence.
  2. Your business details (registered name, SSM number where applicable, address and contact) and the payer's name.
  3. Date the money was received, not merely the date the original invoice was issued.
  4. Exact currency and amount received (for example, MYR 101.70).
  5. What the payment covers, referencing the invoice number or job description.
  6. Payment method and transfer reference (bank transfer, DuitNow QR, cash or card).
  7. Settlement note stating clearly if the payment is a partial deposit or full settlement.

Standalone receipts vs linked receipts in InvoisLaju

SituationRecommended path
Immediate sale, deposit or partial instalmentCreate a standalone Receipt for the exact amount received, and note the job/invoice reference plus remaining balance. Record partial payments on the invoice separately; see deposits and stage payments.
Issued invoice now paid in fullUse the create-linked-receipt action from the paid invoice, then review the carried-over reference and payment details before exporting PDF.

Recording a payment on an invoice does not automatically generate or send a receipt. Linked receipts apply once an issued invoice is fully settled, whereas standalone receipts cover direct cash sales or individual deposit instalments.

Serial numbering and the e-Invoice exemption

Many Malaysian small businesses below the RM3 million annual turnover threshold are exempt from statutory e-Invoicing, as explained in our HASiL e-Invoice exemption guide. Exempt businesses still need clean ordinary receipts: HASiL's Guideline v4.8 notes that buyers use your receipts as proof of expense, and HASiL's General FAQs remind businesses whose annual gross takings exceed RM150,000 to issue serially numbered receipts. Keep one unbroken receipt sequence so every payment record is easy to audit.

Frequently asked questions

What is the difference between an invoice and an official receipt?

An invoice requests payment and shows the total billed, payments recorded and balance due. A receipt acknowledges money you have already received, including the date, amount received and what transaction it settles.

Do e-Invoice exempt businesses in Malaysia still need to issue receipts?

Yes. HASiL's e-Invoice Guideline v4.8 notes that receipts and existing documents issued by exempt persons serve as proof of expense, and HASiL's General FAQs state that businesses with annual gross takings above RM150,000 must issue serially numbered receipts. InvoisLaju exports ordinary PDF receipts and does not submit documents to LHDN MyInvois.

When should I create a standalone receipt versus a linked receipt in InvoisLaju?

Create a standalone receipt for a direct cash or transfer sale, or for a partial deposit where you note the remaining balance. Use the linked receipt action once an issued invoice has been paid in full. On the free plan (RM0), you can create unlimited receipts with 3 footer-free exports each month; Pro is RM19.99 a month, RM129.99 a year or RM269.99 once.
