How to issue a credit note in Malaysia without rewriting old invoices

An invoice has already gone out, and the customer returns two damaged cartons. Overwriting the old PDF and resending it under the same number feels quick today — and creates an unexplained gap in your books at year-end.

What a credit note actually does

A credit note (Nota Kredit / 贷记单) is a standalone reduction document tied to an already issued invoice. It does not delete the original invoice and is not itself a bank transfer. Together, the original invoice plus the credit note show the true net amount payable and why it changed.

When to use a credit note — and when not to

SituationRight document
Customer returns damaged or unused stockCredit note referencing the original invoice
Quantity or unit price was overbilled on an issued invoiceCredit note for the overcharged difference
Post-delivery discount agreed in writingCredit note stating the agreed adjustment
Draft not yet sent to the customerEdit the draft directly before issuing

Seven details every credit note should carry

  1. Clear CREDIT NOTE heading so nobody mistakes it for a new bill.
  2. Dedicated credit note number (for example, CN-0007) on its own sequence rather than mixed into invoice numbers.
  3. Original invoice number reference (such as INV-0182).
  4. Issue date of the credit note.
  5. Specific reason for the reduction — returned goods, billing correction or agreed allowance.
  6. Itemised reduction amount in the same currency as the source invoice.
  7. Updated remaining balance on the original invoice after applying the credit.

Worked example in MYR

DocumentDescriptionAmount
INV-0182Original issued invoiceRM1,175.94
CN-00072 cartons returned due to transit damage−RM105.60
Net amount payable by customerRM1,070.34

Both documents stay on file, the numbers reconcile on sight, and your customer's accounts team can approve the RM1,070.34 payment without back-and-forth calls.

Frequently asked questions

Can I edit an already issued invoice instead of sending a credit note?

Once a customer has received or booked your invoice, editing the old file creates two conflicting versions under the same invoice number. Issuing a linked credit note preserves the original invoice and records the exact reduction and reason.

Is a credit note the same as a cash refund?

No. A credit note reduces the amount owed on an issued invoice. If the customer has not paid yet, they pay the reduced balance; if they already paid in full, the credit can be applied by agreement or settled separately with a refund record.

Should I issue a credit note when a customer refuses to pay?

No. An unpaid invoice that you stop chasing is a bad debt question for your accountant, not a credit note. Issuing a credit note would make your records look as if you voluntarily waived the charge. In InvoisLaju, linked credit notes are unlimited on the free plan (RM0, 3 footer-free exports each month; Pro is RM19.99 a month, RM129.99 a year or RM269.99 once), must reference an issued invoice, require a reason and cannot exceed the invoice total.

Issue linked credit notes without losing your audit trail

Create a credit note directly from an issued invoice so the source number, reason and adjusted balance stay clear.
