Guide
Most late payments are not refusals. They are an invoice sitting in someone's inbox with no due date, addressed to a name that does not match anything in their system. Fix that first, then chase.
Work through this before sending a reminder. It is uncomfortable, but a surprising share of "difficult customers" turn out to be ordinary customers holding an invoice they cannot process.
Escalate on a schedule rather than on emotion. Firm and predictable beats angry and sporadic.
| When | Channel | Tone |
|---|---|---|
| 3 days before due | Helpful heads-up | |
| Day after due | Neutral, assume oversight | |
| 7 days overdue | Email + WhatsApp | Direct, ask for a payment date |
| 14 days overdue | Phone call | Person to person, agree a date |
| 30 days overdue | Written notice | Formal, state next steps |
Hi [name], just a heads-up that invoice INV-0182 (RM1,175.94) is due on 17 August. Attaching it again for convenience. Let me know if anything is needed from our side to process it.
This one prevents more late payments than every angry email afterwards combined. It arrives before anyone is at fault, so nobody has to be defensive.
Hi [name], invoice INV-0182 (RM1,175.94) was due yesterday and I do not see the payment yet. Could you confirm it has been scheduled? Happy to resend anything you need.
Hi [name], following up on INV-0182, now 7 days overdue. Could you give me a date when payment will be released? If there is an issue with the invoice, tell me and I will fix it today.
Asking for a date is the important part. "Please pay soon" can be agreed with and ignored. "Which date?" requires an answer.
Printed due date, your registration number, customer's full name, bank details and balance due — all on the document by default.
Create an invoiceAsk for the payment date, the amount, and the reference. Then check against your records. If a partial payment came in, issue a receipt for what you received and show the remaining balance — that single document usually ends the disagreement, because both sides are finally looking at the same number.
Do not issue a credit note to "clear" an invoice you have given up on. A credit note records an agreed reduction — a return, a wrong quantity, a discount granted after the fact. Using it to hide an unpaid debt distorts your records and removes the paper trail you would need later.
At some point the cost of chasing exceeds the amount owed. Decide that threshold in advance — a figure and a number of weeks — so the decision is not made while you are angry. Below it, write it off and stop taking their work. Above it, seek proper advice on recovery; this guide is not legal advice and small-claims procedures have their own requirements.
Invoices, quotations, receipts and credit notes. Record part payments, generate a linked receipt, and see the balance due on every document.
